Czech Radio - Český rozhlas Case Study

Preserving the “Golden treasure” of the Czech Radio history

Czech Radio decided to use Piql’s solution to secure their most valuable and irreplaceable recording moments of radio history for future generations.

Czech Radio (Český rozhlas) is the national public broadcaster in the Czech Republic and has been op erating since 1923. The radio is the 2nd oldest on the European continent and holds almost 100 years of his torical content and recordings, not only from Czech Republic and Slovakia, but also from other sources in Europe and the World. The radio archive currently keeps 220 000 hours of sound materials, millions of documents and pages of musical records such as notes and periodicals, con taining a very rich and adventurous National memory. A sophisticated system on Oracle HSM base is being used for the data storage. The system makes three identical digital prints of each recording, one placed in a robotic sound library recorded on a cartridge tapes, and two copies are kept each on a different plocation because of the security reasons.

SOLUTION

Piql deploys an open-source, technology and vender independent solution which entitle the future access of the content. This was one of the main differentia tors when Czech Radio were looking for a preserva tion system to rely on for the future. After Czech Radio had defined the type of content they would like to preserve, it was evident that to be able to ensure the readability in the decades to come, there was a joint and thorough process between Piql and Czech Radio of improving and completing the metadata descriptions of the content. Further, it was advised that all sound recordings should be preserved in open source WAV format. This entitles Piql to write the format specifications in human readable text together with the content and metadata and thus makes it possible for future retrieval independent of technology development and obsolescence. Once the content is safely written to piqlFilm, the content never has to be migrated and can thus be kept in the Czech Radio archive for centuries without the need of future resources to keep it alive.

CHALLENGE

Keeping the information alive and accessible with tra ditional migration methods, the Czech Radio has been looking for a super-safe “disaster” preservation solu tion for digital sound recording without being able to find something that can secure their assets in a desired way. Despite the current sophisticated methods of stor ing this information, there is still some risk that the nation’s memory could get lost over time, due to bit rot failure during migration processes, software or hardware obsolescence or lack of money to success fully conduct the migration. Further, the challenge of ensuring the authenticity of the digital material has been of interest to the institution without any clear solution yet. Czech Radio found great interest in Piql’s approach to preservation and decided to engage in a groundbreak ing collaboration. When committing to the project of deploying true preservation method for their materi al, the Czech Radio decided to choose some of their most beloved and irreplaceable assets. The project was defined as the “Golden treasure” of the Czech Ra dio and included among others authentic recordings from Prague’s uprising in May 1945, recordings from the Soviet invasion of Czechoslovakia in 1968, speech es from the presidents, Kings and prime ministers as well as documentation of political trials after WWII war crimes.

FUTURE

Seeing the results of the successful collaboration safe guarding their „Golden Treasures“, Czech Radio would like to continue protecting more of their valuable sound recordings by depositing their most irreplace able assets on an annual basis.

will remain safe and accessible for centuries to come. Cineteca de Bologna chose Piql’s solution as it is purpose built for cinematic preservation. Having previously developed technology to solve cinematic digital distribution challenges with the rise of digital film (still widely used), Piql’s preservation solution was built to solve the challenges associated with keeping digital films alive. Able to preserve the artistic intent with rich metadata capture and built-in playback, Miracolo a Milano will be as clear to watch in 500 years as it is today. This is Cineteca de Bologna’s second collaboration with Piql, the first one, also in Cannes last year, saw the classic film Bicycle Thieves digitally preserved and stored in the Artic World Archive, alongside other cinematic treasures such as Mediterraneo, preserved by Infinity (Mediaset Group) and Variety Distribution (one of the oldest Italy movie distribution company).

Miracolo a Milano (Miracle in Milan) released in 1951, is a well-loved classic following an open hearted and unrelentingly energetic orphan as he struggles to make the best out of his life on the streets of Milan. A core piece of Italian film heritage, the film has received numerous awards and a very rare rating of 100% on rotten tomatoes. Chosen for in the 1951 Cannes film festival, a fewmonths after its release, the film is now being presented again at the 2019 Cannes Film Festival as a classic.

CHALLENGE

Experts at Cineteca de Bologna do not want this cinematic treasure lost or at risk in any way, so they have restored and digitised the movie in preparation for its digital preservation. By adhering to de current Italian MIBACT directives, they have preserved the restored movie on traditional analog film.

Mjøndalen IF Case Study

Mjøndalen sporting history

BACKGROUND

As a local athletes’ organisation with more than 110 years of local history and presence in the community, Mjøndalen IF (sports association) has been a major contributor to the every-day life of the people in the region of Mjøndalen. Throughout the 20th century the organisation has documented the every day life of a local community and has a rich history from a wide range of sports and activities, from a world record in ski jumping from 1915, to a leg endary tv show of the underdog and charismatic football team fighting in the Norwegian top division. Mjøndalen IF has always been a challenger and an organisation to push the boundaries.

Together with adjacent metadata the information was normalised to preservation file formats, before securely stored on the long-term storage medium, piqlFilm, pro viding the assurance of authentic data storage without the risk of data corruption or loss. The data was stored as digital time capsule and deposited to the Arctic World Archive by the current chairman of Mjøndalen IF, Arild Iversen, during a ceremony in Octo ber 2020. An important and proud moment as the first sporting association team to deposit their history into the vault. ‘It felt almost reverent that we, as the first sports associa tion in the world, had the opportunity to take care of our history in this way. In company with, among others, the National Museum, UNICEF and other national and inter national cultural institutions,’ he said. ‘Being proud of its history is for us a strength that gives us energy to continue the development of the club in step with the wishes and needs of society and the ath letes. The story tells of “big dreams for a small village” and 110 years of history how the club with small funds has managed to create sports history.’

To celebrate its 110th year anniversary, the organisation decided to secure its history in a digital form that could be preserved and accessed into the future. This history had been collected over decades to and published in three insightful books going through the lifetime of the organisation, as well as a wide range of images and video clips from numerous different sources. Having felt the risk of losing valuable content due to hard drive hiccups and lack of access to the original master files, the club quickly understood the potential risk of losing their data. The challenge was to effectively organ ise and catalogue the information, while finding a preser vation method that would ensure the information would remain safe and accessible for generations to come. With the support of Piql, Mjøndalen IF undertook a pro cess to structure its archival content, decide on an ap praisal process of the most valuable items and to under take a digitisation process for these objects in-house. The goal was to choose the most valuable history for preservation to ensure it would survive for at least anoth er 110 years (the current age of the organisation) in the Arctic World Archive. The process identified a key list of books, images and videos that document the story of Mjøndalen in both a historical and contemporary manner. The Brazilian Football Confederation (CBF) is known and respected in Brazil and worldwide for organizing and regulating all football related activities in Brazil, and for managing the National Football Team, proudly known as Seleção Brasileira de Futebol. In its daily activities, CBF produces large amounts of legal and procedural documentation stored on paper and as digital files, as well as vast amounts of media content of historical value. The institution also man ages a collection of information stored on microfiche. President of CBF, Mr. Marco Polo Del Nero, is respon sible for modernizing and implementing a complete digital workflow for all football related activities in

Brazil. With background as a Lawyer and Sports Manager, he considers that the digiti zation of Brazil’s football his tory is crucial but must com ply with legal regulations that protects the players’ rights. every game. The CBF workflow integrates all types of documents and allows access to state level entities as well as to individuals. PROBLEM Integrating CBF’s paper, microfiche and born-digital files into a transparent environment is a challenge. Some of the storage medium require digitization, and the metadata has varied over time and must be ad justed to modern-day requirements. As an example, when an athlete retires, the information generated during his career must be securely stored to ensure all rights are protected. As full retirement happens many years after players retire from the field, documents are usually stored in various formats that need to be digi tized and integrated with CBF’s IT infrastructure. CBF legacy files stored in analog form on microfiche require special attention as access is needed on a daily basis for former players and staff that are now reaching the age of retirement. The IT department is also undergoing major infrastructure changes to im plement paperless workflows for all football related activities in Brazil in compliance with ISO 14721 and regulations from National Legislation. SOLUTION CBF was interested in Piql’s technology because of its ability to preserve files for the long-term. The initial plan was to implement the technology for their his torical documents. However, after tests and technical and legal discussions, CBF’s IT department understood that Piql’s technology would also enable nationwide digitization of all football related workflows as well as legal compliance for information preservation. Piql was awarded a service and consulting contract to digitize analog documentation and to implement an OAIS-compliant digital workflow. Microfiche and paper documents are digitized, pro cessed for OCR (Optical Character Recognition) and authenticated with digital signature. CBF’s cloud in frastructure is integrated with Piql, so files are easily transferred electronically for preservation and physi cal storage at the Arctic World Archive. Piql provides all services related to digitization and IT integration, including the installation of digitizing equipment within CBF headquarters in Rio de Janei ro and implementation of a workflow that enables access to the CBF Cloud integrated with Piql Arctic World Archive from any soccer stadium in Brazil.

The High Court of Madhya Pradesh needed digitisa tion and preservation of more than 50 million A4 pag es of historical court cases. For historical legal data that needs long-term storage, migration-based technology not only isn’t suitable but presents long-term problems. Paper based storage solutions also become very expensive over the long term and the sheer volumes makes accessibility and searchability challenging. The High Court wanted to store the information in vi sual format on film, like it is done in the traditional mi crofilm market. Hungarian National Library Case Study

Preservation of manuscripts for the Hungarian National Library The Hungarian National Library was founded in 1802 by the Hungarian Count Ferenc Széchényi. Szécheny. Its collections consist of more than 2 million books, periodicals, manuscripts, documents, and images. Serving as a storehouse of knowledge, National Széchényi Library is an institution storing and making publicly available traditional (paper-based) and mod ern (electronic) library documents of the Hungarian cultural heritage.

CHALLENGE

Libraries carry an important responsibility to ensure valuable information lives on for decades and even cen turies. This can be a difficult task with challenges such digital obsolescence, multiple file formats, content du plication, both analogue and born digital information and resource constraints.

Hungary, like many nations, are working to ensure items of most cultural valuable are digitised. At pres ent, the main task of the Hungarian National Library is to provide two repositories of all publications and all kinds of prints produced in Hungary, including other materials (sound recordings, videos, electronic doc uments, etc.) and works published by Hungarian au thors in foreign languages and in Hungarian. Keeping this data alive can be a challenging process with most technologies only designed for short term storage. Technological obsolescence perhaps presents the greatest risk to data with a race against time to ensure data isn’t trapped on unreadable media or in unreadable formats. The Hungarian National Library were looking for a vi able solution for long-term digital preservation of its precious heritage. The National Museum of Norway and Piql have joined forces to safe guard art for coming generations. Their most significant creations will be kept well protected in digital format at the Arctic World Archive.

The National Museum holds Norway’s most exten sive art collection, including national treasures such as “The Scream” by Edvard Munch. They also have an important role in preserving the collections to make them available for future generations.

The Vatican Library is working with Piql to safely preserve and protect some of their most valuable historic manuscripts for future generations.

The Vatican Library is working with Piql to safely pre serve and protect some of their most valuable historic manuscripts for future generations. As one of the oldest and important libraries in the world, it contains one of the most significant collec tions of historical texts, including 75,000 codices and

1.1 million printed books. Formally established by Pope Nicholas V in 1475, the Library began a digitisation project in 2010 to preserve their collection of manu scripts for the future and make them available to the public online.

“ Our dream is to convert our historic manuscripts to Piql, and thus be able to give this information to the next generations and to the future.

The Vatican Library invited Piql to demonstrate the technology through the delivery of a pilot project. The priceless and well-known Dante Alighieri’s “La Div ina Commedia” was chosen. Preserved on PiqlFilm, the manuscript is now stored safely in Piql’s Artic World Archive on Svalbard, Norway. Following the success of the pilot project, the Vati can Library have decided to digitize 500 irreplaceable documents of great historical value and ensure pres ervation and accessibility for coming generations for 500 years. Manuscripts were selected by the Vatican Library based on their historical and cultural value, and the risk the of deterioration and permanent loss. The proj ect includes the preservation of documents such as a text written by Luke the Evangelist and a hand-written version of the Coran. The project is kindly supported by SCG Chemicals, a leading petrochemical company in Asia and research partner of Piql.

CHALLENGE

For 500 years, the Vatican Library has fulfilled its fun damental purpose of gathering, preserving and restor ing its patrimony of books and documents to make them available to all. It holds some of the oldest and most sacred texts including notes by artists and scien tists such as Michelangelo and Galileo, as well as trea ties from all eras in history. This task of preservation and access has been de manding because the consultation of ancient books naturally causes wear, with the risk of deterioration in creasing over time. However, the Vatican is very clear that providing free access to its collections to scholars from around the world is a mandate it would never fail to deliver.

FUTURE

This project, 500 manuscripts for 500 years will no doubt be one of the most significant and important preservation projects of our time as we seek to pre serve humanity’s cultural heritage. The project is now seeking additional sponsors to fur ther facilitate the preservation of the chosen manu scripts.

A secure, long term solution was needed to ensure that this history is not lost for future generations.

In a world where everything happens so fast but doesn’t last for long, the Vatican Library needed a solution that would ensure timeless preservation. On line for accessibility but offline for absolute safety.

UNICEF combines technologies to safeguard the Rights of the Child Established in 1946, the United Nations International Children’s Emergency Fund (UNICEF) is a United Nations agency responsible for providing humanitarian and developmental aid to children around the world. UNICEF works in over 190 countries and territories to save children’s lives, to defend their rights, and to help them fulfil their potential, from early childhood through adolescence.

The problem with digital storage is that the technology quickly becomes outdated; floppy disks, CDs and even USB-sticks are examples of this. Today, we store most of our digital data in “the cloud”. Despite the name, this means that we rely on physical hard drives vulnerable to power outages, hacking, war and natural disasters. “

As part of the 30-year anniversary of the signing of the convention, and for World Children’s Day, UNICEF began a campaign centred on how the rights of children are in our DNA as people. The idea to store the document digitally in DNA was an exciting way to complement the campaign, celebrating the anniversary and promoting the im portance of children’s rights. DNA is an emerging technology that is still in de velopment. It offers great benefits in terms of durability and capacity, however as a developing technology, reading back the information can be complicated and require significant computer pro cessing power. In addition to the technology capable of eternal storage, UNICEF wanted to a safe place where the document would be cared for. UNICEF chose to store the document in the Arc tic World Archive (AWA) as a contribution to the growing collection of world memory. In addition to storing the data on DNA, UNICEF also chose to store the information on piqlFilm, offering guaranteed readback, irrespective of how long the data is stored for. piqlFilm provides all rel evant file format specifications and decoding soft ware in human readable format to enable manual data recovery. THE SOLUTION

The combination of these two storage mediums provides great assurance that the file will survive and be accessible well into the future. The Rights of the Child, will rest alongside consti tutional documents from a range of nations, cul tural heritage treasures and contemporary mem ories.

Fundación Felipe González The Fundación Felipe González aims to be a think tank for global progress, democracy and equality while also providing public access to “civic memory,” such as the former president’s documents.

CHALLENGE

Preserving memory for the benefit of future generations is a core value and aim for the Fundación.

Digitisation is the start of this process and how the documents are treated and catalogued is a key consider ation as it directly impacts on accessibility and preservation. The challenge of current media obsolescence is also a concern for the Fundación and for archivists around the world. To solve this problem, many organisations build their

archive around data migration strategies, where data is moved every few years to new media or software formats.

The notebooks of the President are testimony of the task of Government and the development of daily life in the Moncloa Palace. In this sample we find handwritten annotations on the negoti ation for the signing of the Treaty of Accession to the EEC, preparatory notes for the Councils of Ministers and parliamentary debates; meet ings with the Ministers of Economy, Defense or Foreign Affairs; notes of the European Council; drafts of letters to international political leaders or reflections on current political events. The photographs taken by Miguel Povedano, official photographer of Moncloa, are in the same way, testimony of the audiences and meetings between the President and the different national and international social and political actors, as well as the various conferences and summits that he attends during the years of government, including the signing ceremony for the accession to the European Economic Community in 1985, the Peace Conference for the Middle East held in 1991, and the various Ibero-American Summits that took place from that same year. Memories with Norway and Spain In addition, the Fundación wanted to dive into its archive about Norway and, as a result of this search found some photographs of Gro Harlem, Kåre Willoch and Harald V.

This can be a risky and expensive process.

The Fundación was intrigued by Piql’s unique technology, solving the problem of technologi cal obsolescence, with guaranteed future acces sibility. With leading digitisation services offering optical character recognition and enriched meta data extraction, along with expert support in archival management, the Fundación recognised Piql could offer a viable future focussed solution. The Fundación also found mission of the Arctic World Archive very interesting, as a repository of world memory, holding critically important treasures from well-known organisations. To explore Piql’s technology further, the Fundación has undertaken a symbolic project with Piql to store important Spanish history to the Arctic World Archive. This project not only safely preserves Spanish history, but it also allows the Fundación to understand the potential benefits Piql technology can offer its broader collection. The items digitally preserved and stored away for the future from Fundación are from three collec tions: SOLUTION These typed documents include the transcript of the talks held in October 1976 and in March 1977 between a secret services command (Cen tral Documentation Service) and Felipe González and Alfonso Guerra, young leaders of the Spanish Socialist Workers Party still illegal. Museu Del Castell de Peralada preserves Spanish heritage with Piql

The Museu Del Castell de Peralada, located in a 14th century Carmelite convent, is an important cultural repository of rich Spanish history.

THE CHALLENGE

The Museum holds nearly 100,000 books, 800 Patents of Nobility, 140 manuscripts, 200 incunabula, 40 Letter Books from Damiá Mateu and 5000 pieces of the Cervantes Collections. Like many historical institutions, parts of the collection are beginning to deteriorate and were at risk of being lost forever.
