THE CHALLENGE

With the collected digital files from the various departments and the digitisation hub, Piql implemented the program, mapped to follow the workflow of the Defence Museum and ensuring that it would cover the needs of getting a good overview of the digital originals which the museum then put on piqlFilm for long-term storage. As part of the process the Defence Museum is ensured of being able to have an integrated upload of new files to be stored according to international standards of archival packages. With the opportunity of adding relevant metadata and with strong search capabilities for both the offline data stored on piqlFilm and the online data stored in the cloud.

A report from the Office of the Auditor General in 2017 found the level of digitisation and preservation in Norwegian museums was not adequate required attention. Building on the digitising project, the Museum sought external guidance for help on a long-term information storage strategy and Piql was invited to assess the Museum’s needs and requirements. Clearly understanding that the needs of the museum expanded beyond long-term storage, Piql and the Defence Museum engaged in a holistic archival process, to better understand the whole process. As a result of this, it was clear that they needed to be able to organize and have access to the long-term preservation process all the way from digitisation to long-term storage. Through development of a digital work flow, Piql was able to better understand the user need and challenges as part of the daily routines of the archive. A project was scoped to implement a simple and user-friendly solution to match the needs for easy access, quick overview, secure long term storage and close integrations with other systems, such as on-site storage systems, other software used in the production line and eventually external back-ups.

Everything is accessible and managed through piqlConnect.

FUTURE

Piql and the Defence Museum will continue to develop the partnership by enhancing the features and integration of piqlConnect with other parts of the digitisation and archival process. As part of the system, having acquired also the piqlReader, the Defence Museum now have a complete end-to-end process on-site and can ensure both preservation and retrieval of their content with piqlConnect being the heart of the process.
